It is our hope that you have a strong interest in helping to shape today’s medical trainees! As a preceptor, you act as a guide, mentor and role model for trainees at all stages of their medical education. For more information see the resources listed below.

The DMES offers administrative support to physicians who chose to take medical trainees into their practice and the Health Centre. In addition to credentialing learners, we aid in: program development and expansion, creation and enhancement of department orientation packages, facilitation of faculty appointments, tracking of preceptor-learner schedules and the facilitation of preceptor stipend payments.

The DMES is also happy to provide support during Continuing Education events, the formation of promotional educational documents, and much more!

Rotation Process

Rotation ProcessThe University of Toronto receives a steady stream of applications for rotations at St. Joseph’s Health Centre (SJHC). In addition, the Department of Medical Education & Scholarship (DMES) is in regular contact with interested learners to provide rotation and preceptor information.

As a preceptor, you may receive rotation requests directly from students, the University of Toronto UME, PGME, or Visiting Electives Office as well as the SJHC’s DMES. A step-by-step guide for the rotation set-up process has been detailed below for your review:

  1. Medical students, residents and fellows can request a rotation experience through the DMES by emailing the Medical Education Coordinator or a potential preceptor in their Service of interest. All rotations must be registered through the University of Toronto (opens in new tab) in accordance with our Affiliation Agreement.
  2. If a rotation has been pre-arranged and the preceptor has been confirmed, the preceptor is asked to notify the DMES of the rotation. The learner name, rotation dates, trainee home school and rotation service should be included in the notification.
  3. The DMES will request any additional information from the trainee that may be required to register them for their rotation experience at SJHC. Registration cannot be completed until all appropriate information has been received. If an elective has been arranged more than three months in advance, the DMES may connect with the trainee closer to the rotation start date.
  4. In cases where rotation requests have been received directly by the DMES, the Medical Education Coordinator will send out preceptor requests to the appropriate Service. The DMES will notify the trainee when a preceptor has been confirmed or if the trainee cannot be accommodated. This process may take anywhere from a few days to several weeks.
  5. When a rotation has been confirmed, the DMES will provide the trainee with the SJHC Student Placement Handbook for Medical Students, Residents and Fellows as well as Clinical Orientation Manuals for the service (where applicable), and information for their first day.
  6. The DMES ensures that the appropriate IS access has been requested for each learner.
  7. One the first day of the trainee’s rotation, registration with the DMES must be completed prior to proceeding to the service. Registration typically takes 15 minutes to complete. The Registration Package (opens in new tab) includes trainee details, mask fitting & immunization requirements, confidentiality & security agreement, code of conduct and signature record. During registration, trainees are also provided with an Authorization Form for their ID Badge. Pagers and Lockers can also be arranged at this time if needed. The DMES is responsible for ensuring accurate completion of all appropriate registration documents for the trainee prior to / upon arrival at the Health Centre.
  8. The DMES provides support to medical trainees and preceptors throughout the rotation experience. We encourage you to contact us with any questions or concerns.
  9. Resident On-call Stipend Forms are submitted to the DMES for entry into the POWER system at 0830 hours on the 10th of every month. As per the PARO-CAHO Agreement, residents have 30 days from their last call day to submit completed forms to the DMES with all authorizing signatures.
  10. Upon completion of a rotation, each trainee is sent a reminder to complete the SJHC Rotation Evaluation (opens in new tab).
  11. At the end of each fiscal year (March 31) an anonymous summary of medical trainee evaluations are provided to the Chief of each Department. This summary is only provided to a Department if a minimum of six (6) learners have submitted the Rotation Evaluation throughout the year.

U of T Faculty Appointments

UofT Faculty AppointmentsFaculty appointments are made through the University of Toronto and are approved for physicians who are engaged in academic activities for a portion of their professional time. There are two categories of appointment for Clinical Faculty Members that are supported through the Medical Education Office. These appointments are Clinical Part-time and Clinical Adjunct. Within each category, a preceptor may obtain a rank of Lecturer, Associate Professor, Assistant Professor or Full Professor. The majority of physicians will meet the criteria of Part Time Lecturer.

Faculty Development

Faculty DevelopmentSt. Joseph’s Health Centre’s Department of Medical Education & Scholarship supports a variety of professional development and faculty development events for preceptors. SJHC’s Annual Clinical Day, Interprofessional Education Week, Annual Arthritis Conference and a variety of other workshops are advertised and geared toward physician teachers. Ontario Telemedicine Network (OTN) Video Conferences

The OTN is the world’s largest two-way network using video-conferencing. Video-conferencing is used for rounds, seminars, workshops and other educational event for both hosting and participating from a remote site. Using this technology, OTN provides access to care for patients located across the province and facilitates the delivery of distance education for health care professionals and patients.

This ever-expanding website features over 200 stories about Canadian family medicine shared by family physicians, patients and their communities. RCPSC Centre for Learning in Practice (CLIP)

The CLIP is a unit within the Office of Professional Affairs (OPA) that is dedicated to studying, promoting and participating in scholarly discussion about the theory, strategies and interventions that enhance physician learning both as individuals or members of a health care team.

Resources and Support for Community Preceptor Excellence

Each medical trainee who completes a SJHC community based rotation, must submit a Rotation Evaluation upon completion of the rotation. The link to the rotation evaluation is provided in each learners Orientation Package. Medical trainees are also sent up to five (5) email reminders asking for the submission of the survey.

At the end of each fiscal year (March 31) an anonymous summary of medical trainee evaluations is provided to preceptors so they may reflect on their teaching abilities. This summary is only provided to a preceptor if there have been a minimum of six (6) evaluations submitted over the course of the year. This protects the learner and ensures the anonymity / confidentiality of the summary.

Additionally, the University of Toronto provides a summary of POWER evaluations for residents who have evaluated SJHC preceptors. The POWER summaries are typically released every two years.
